Position Summary

The South Dakota Science and Technology Authority (SDSTA) owns and operates the Sanford Underground Research Facility (SURF). The Front Desk Support provides general reception and office support/administrative duties and tasks that are predominately routine for SDSTA/SURF.

Line of Authority

The Front Desk Support reports directly to the Administrative Services Manager.

Functional Responsibilities (include but are not limited to)

Reception

  • Answers multi-line telephone system and gives information to callers, takes messages or transfers calls to appropriate individuals.
  • Greets visitors and callers, handles their inquiries and directs them to the appropriate individuals.
  • Conveys directions/instructions in a clear and precise manner.
  • Registers daily visitors in the SDSTA Visitor Database and issues visitor cards. Tracks visitors for monthly visitor log reports. In coordination with the Environment, Safety and Health (ESH) Department, Human Resources Office and Science Department, creates and issues identification/access badges for employees, contractors, users and visitors.
  • Keeps track of staff and visitor locations and whereabouts.
  • Makes coffee and keeps the reception area clean and neat.
  • Creates signs and phone messages as required.

Office equipment and supplies

  • Provides minor maintenance on copiers.
  • Contacts printer vendor regarding problems and coordinates service requests.
  • Stocks office supplies and keeps copy rooms neat and orderly.
  • Orders office supplies to replenish the supply closets, mail supplies (stamps, packages, etc) and special request items for employees.

Office/Administrative

  • Schedules meetings and updates SURF master calendar and conference room calendars.
  • Completes required documents and monthly reports for SDSTA-owned vehicles.
  • Performs basic administrative duties as assigned: data entry, photocopying, scanning, word processing, filing etc.
  • Manages email correspondence.
  • Completes monthly reports related to reception duties.
  • Receive purchase orders into asset management system.
  • Sorts and routes incoming mail and packages. Prepares letters and packages for mailing (UPS/FedEx/USPS/Rapid Delivery).
  • Prepares and distributes meeting materials for department heads, as requested. Assists with monthly researcher hours.
  • Assist with setup and teardown of events.
  • Performs other various duties, as requested.

  • To the Administrative Services Manager for ensuring administrative needs are met and conveying information regularly to the manager concerning progress on the Front Desk Support responsibilities.

Qualifications

Education

  • A high school diploma or general education degree (GED) is required.

Experience

  • At least two years of relevant experience in an office environment is required.
  • Experience using a Windows-based or Apple Macintosh computer and knowledge of Microsoft Office (Word, Outlook, PowerPoint and Excel) is required.
  • Knowledge of English including spelling, grammar and composition is required.
  • Experience working with Adobe Suite is helpful.
  • Working knowledge of filing methods a plus.

  • Proof of a valid driver’s license is required.

  • Perform limited physical labor and light lifting including walking up and down flights of stairs.
